Your starting point after logging in: an overview of your organisation
Welcome to Travas
After logging in, you will see your organisation dashboard. All actions, notifications and projects are available in one place.
- 1Statistics at the top: amount to be declared, volume to be declared and remaining volume of your active notifications.
- 2Actions: outstanding tasks that require your attention, such as missing documents or confirmations.
- 3Notifications: updates from chain partners, such as carriers who have departed or authorities who have approved.
- 4Quick links on the left: New project, Document management and Manage organisation.
- 5Project overview at the bottom: all active shipments with name, type, project number and duration.
Manage organisation
Set up your company details: these form the basis of your Annex VII documents
Navigate to organisation management
Click on Manage organisation in the left column of the dashboard.
- 1Click on Manage organisation in the left menu of your dashboard.
- 2In the top right you will see two tabs: Manage (organisation details) and Users (team members).
- 3Upload your logo and banner via the photo area at the top. Maximum 2 MB, formats JPG, PNG or GIF.

Enter your organisation's contact details and save.

Manage users
Give colleagues access to your organisation in Travas
User overview
Click on the Users tab on the right side of the Manage organisation screen.
- 1The screen shows all users with access to your organisation, including their email address and permission level.
- 2For each user you can see when they last logged in, or Not yet logged in if the invitation has not been accepted yet.
- 3Use the ⋮ menu next to a user to adjust permissions or revoke access.
Full access: can create, edit shipments and use all features.
Read-only: can view everything but cannot make changes.
Invite a new user
Click the Invite button in the top right of the user overview.
- 1A pop-up window Invite team members will appear.
- 2Enter the email address of the colleague you want to invite.
- 3Select the permission level: Full access or Read-only.
- 4Click Send. The colleague will receive an invitation email to activate their account.
Choose permission level
Use the dropdown menu to choose the access level for the new user.

Confirmation
A confirmation appears in the top right after the invitation is sent.
- 1The green message "Access to organisation granted" confirms the invitation has been sent successfully.
- 2The invited person appears immediately in the list with the status Not yet logged in until they accept the invitation email.
- 3You can invite additional users or remove existing users at any time via the same screen.
Organisation set up
Your organisation profile is complete and your team members have access. You are ready for your first shipment.
Document management
Central location for all documents of your organisation
Navigate to document management
Click on Document management in the left column of the dashboard.
- 1Click on Document management in the left menu of your dashboard.
- 2You will be taken to the document overview of your organisation.
Document overview
The overview shows all uploaded documents as cards with filename and size.
- 1Each document is displayed as a card with a preview, filename and file size.
- 2Click Download below a document to download it directly.
- 3On the left you will find three actions: Print documents, Download all documents and Upload document.
- 4The number of documents is shown below the page title: Recycling BV • 1 document.
Upload document
Add a new document to your organisation file
Select file
Click + Upload document to open the file selection screen.
- 1Click + Upload document in the left panel.
- 2Your operating system will open a file picker. Navigate to the document you wish to upload.
- 3Select the file (e.g. a bank guarantee, approval certificate or other PDF document).
- 4Click Upload to send the file.
Upload confirmed
After uploading, the document appears directly in the overview.
- 1The green message "Document uploaded successfully" appears in the top right.
- 2The new document is immediately visible in the overview as an additional card.
- 3The document count in the page title is updated automatically.
- 4Want to remove a document? Click the icon at the top right of the document card.
Download documents
Download a single document or the complete file as a ZIP
Download a single document
Click Download below a document card to save that file directly.
- 1Click the blue Download link below the desired document card.
- 2The file downloads immediately to your default download folder.
Download all documents at once
Click Download all documents for a ZIP archive of all files.
- 1Click Download all documents in the left panel.
- 2Your browser may ask whether downloads from travas.eu are allowed. Click Allow to continue.
- 3All documents are downloaded as a ZIP file to your download folder.
Print documents
Select and print multiple documents at once
Print documents
Click Print documents to open the print dialogue.
- 1Click Print documents in the left panel. A modal will appear with all available documents.
- 2Select the documents to print by clicking them. Selected documents show a checkmark in the top right.
- 3On the right you will see the Afdruksvolgorde: de nummering bepaalt de volgorde in de gecombineerde PDF.
- 4Click Print documents (blue button) to merge and print the documents.

Account settings
Manage your personal settings, password and signature
Open the account menu
Click on your initials or profile photo in the top right to open the account menu.
- 1Click the circle with your initials in the top right (e.g. ET). A dropdown menu will appear.
- 2The menu shows three options: a status message, Account and Log out.
- 3Click Account to open your personal settings.
Personal information & language
Set your name, email address and platform language

Update your name, email address and interface language.
- 1Upload a profile photo by clicking the photo area. Your initials will be shown if no photo has been set.
- 2Update your name. This will be shown in the system and on signed documents.
- 3Update your email address if needed. You will first receive a confirmation link at the new address before the change takes effect.
- 4Select your language: Dutch, English or German. The entire interface will adjust accordingly.
- 5Click Save to store the changes.
Choose language
Travas supports three languages: Dutch, English and German.
- 1Click the Language dropdown to open the options.
- 2Choose Dutch (Nederlands), English or German (Deutsch).
- 3Click Save. The interface will immediately reload in the chosen language.
Change password
Set a new password for your Travas account
Set a new password
Click Change password in the right-hand navigation of Account settings.
- 1Enter your desired new password in the first field.
- 2Repeat the new password in the Confirm password field.
- 3Enter your current password at the bottom to confirm your identity.
- 4Click Save. Your password is changed immediately.
Set up signature
Your digital signature for signing transport documents
Draw your signature
Click Signature in the right-hand navigation and draw your signature in the drawing area.
- 1Click Signature in the right-hand navigation of Account settings.
- 2Draw your signature in the white drawing area using your mouse or trackpad. On a touchscreen you can use your finger or stylus.
- 3Not satisfied? Click Clear at the bottom right of the drawing area to start again.
- 4Click Save to save the signature.
Your saved signature is automatically inserted when signing:
- Annex VII: transport document for green list shipments
- Annex IA / IB: notification and response form for red list shipments

Your name, language, password and signature are set up. You are ready to work in Travas.
Add a new organisation
Use the grid icon in the top right to link a new organisation to your account
Open the organisation selector
Click the grid icon (⊞) in the top right of the navigation bar.
- 1Click the grid icon (⊞) next to your profile photo in the top right.
- 2A dropdown will appear showing your active organisations and the option + New organisation.
- 3Click + New organisation to start the setup wizard.
Search or add organisation manually
Search for your company by name or Chamber of Commerce number. Not found? Add it manually.
- 1Search by company name or Chamber of Commerce number in the search field. Travas automatically retrieves the details from the trade register.
- 2Is your company not in the results? Click Add organisation manually.
Enter organisation details
Enter all company details. These will be used for your DIWASS registration.

What is your role in the waste transport?
Your choice determines which features you get and whether a subscription is required
Choose your role
Select the role that best matches your activities. You can change this at any time.
- 1Carrier or processing facility: You receive transport instructions, confirm arrivals and sign transport documents. Free: no subscription required.
- 2Importer or exporter (notifier): you submit notifications to the authorities and coordinate cross-border waste transport. Paid subscription required.
Set up DIWASS connection
Travas needs access to DIWASS to submit notifications on behalf of your organisation
Choose how to set up the DIWASS connection
There are three options, depending on your situation.

Option 1: Add Travas as administrator yourself
Follow the step-by-step instructions in Travas to add Travas to your DIWASS account.
- 1Go to traces.ec.europa.eu and log in with your EU Login account via eIDAS / e-Herkenning.
- 2Navigate via your name in the top right to Organisation management → Users tab.
- 3Click Add user and search for the email address: diwass@travas.nl.
- 4Assign the role Administrator so that Travas can submit notifications on behalf of your organisation.
- 5Save. Travas receives a confirmation email and verifies the connection automatically.
Connection status
After setup, Travas shows the current status of your DIWASS connection.
- 1Travas as administrator: is processed as soon as you have added Travas in DIWASS.
- 2Operator registration: takes up to 14 working days: this is an EU approval process.
- 3Connection ready: active once all preceding steps have been approved.
- 4You will automatically receive an email once the connection is fully active. You can already explore the platform.

Your account and organisation are set up. You will receive an email once the DIWASS connection is active.

- 3Click Go to dashboard to get started immediately. You can already explore the platform and complete your organisation details.
Switch between organisations
You can switch active organisation at any time using the grid icon in the top right.
- 1Click the grid icon (⊞) in the top right. The dropdown shows all your linked organisations. The active organisation has a checkmark (✓).
- 2Click another organisation name to switch immediately. The dashboard will immediately load the data of the chosen organisation.
- 3Each organisation has its own projects, documents, actions and notifications. Switching has no effect on the other organisations.
- 4An orange dot next to the ⊞ icon indicates unread notifications in one of your organisations.

Create new project
Click + New project in the left menu of your dashboard
Choose project type
There are two project types: Green list (Annex VII) and Notification procedure (orange/red list).
- 1Click + New project in the left column of your dashboard. A form will appear.
- 2Click the Type dropdown and choose the correct shipment type.

Give your project a name and enter the duration and quantities
Notification procedure: basic details
Enter the project details. These form the basis of your notification application to the authorities.

Enter the details of the consignor and the importer/recipient
1. Consignor for the shipment
The consignor is automatically filled based on your organisation details. Check and complete.
- 1Your organisation name is already filled in as consignor. Enter the address, phone, email and contact name.
- 2Scroll down to section 2: Importer/recipient and enter the full details of the receiving company.

Project dashboard
After saving, the project dashboard opens with route map, statistics and outstanding actions
Your new project has been created
The project dashboard gives an immediate full overview of the status and outstanding tasks.
- 1Route map on the left shows the route visually: from Arnhem (NL) to Tilburg (NL) towards Germany. The flags indicate the departure and destination country.
- 2Statistics at the top: total quantity (24 tonnes), shipments completed (0/6), start date and end date.
- 3Actions (open): Travas has automatically generated a list of documents you still need to upload for the notification.
- 4Notifications: the message "DIWASS connection pending" shows the connection is still being processed. You can already upload documents.
- 5Left menu: via Start notification procedure you start the formal application once all documents are ready.
Handle outstanding actions
Travas shows exactly which documents you still need to provide before the notification can be submitted.
- 1Upload intended route: a map or description of the transport route including border crossings.
- 2Upload carrier insurance: proof of liability insurance for the transport of waste.
- 3Upload carrier registration: the carrier's registration document (VIHB or equivalent).
- 4Upload financial guarantee: bank guarantee or equivalent security required by the WSR.
Edit project
You can always adjust the project details via Edit project in the left menu.
- 1Click Edit project in the left column of the project dashboard to open the edit screen.
- 2The form is identical to the creation screen. You can adjust all fields: name, dates, quantities, remarks and party details.
- 3Click Save at the bottom. The green message "[Project name] saved" confirms the change.
Green list project
How a green list shipment differs from a notification procedure
Create form: green list
The creation form is identical. Choose Green list under Type.
- 1Under Type, select the option Green list in the creation form.
- 2The consignor details are automatically filled from your organisation.
- 3Scroll down and enter the details of the importer/recipient.

Name, dates, quantities, remarks and importer fully entered and saved.

Project dashboard: green list
After saving, the project dashboard opens. The left menu now has a New Annex VII button.
- 1Left menu: alongside Edit project and Document management you will find New Annex VII. Each shipment within this project gets its own Annex VII.
- 2First action: Sign the Green List Transfer Contract. This is required before you can create an Annex VII.
- 3The standard upload actions then appear: Intended route, Carrier insurance, Carrier registration and Financial guarantee.

- 1The column Type shows per project whether it is a Green list or Notification procedure project.
- 2Click a project name to open the project dashboard.
- 3Multiple projects of the same type are tracked separately with their own project number and duration.

You now know how to create a notification procedure and which documents you need to upload afterwards.
Start notification procedure
Start the formal application to the authorities from the project dashboard

Click Start notification procedure in the left column of your project dashboard.
- 1Open the project from the dashboard or via My projects. Click Start notification procedure in the left menu.
- 2The notification form opens as a two-column screen: enter details on the left, and see in real time how the official Annex IA is filled on the right.
- 3All data already entered when creating the project (exporter, importer, quantities) will be pre-filled.

Every change on the left is immediately visible on the official Annex IA on the right.
- 1Left: the Travas form, divided into numbered sections (1 to 16). Scroll from top to bottom through the form.
- 2Right: the official Annex IA in EU format. Each field updates live as you fill in the left side.
- 3Use the Save draft button (bottom left) to save your progress without submitting. You can continue where you left off later.
- 4Use Submit to DIWASS (bottom right) to submit the final notification once everything is complete.
Sections 1–3: Exporter, Importer & Notification
The basic parties and the notification type

The exporter and importer have been carried over from your project. Check and complete.
- 1Section 1: Exporter/notifier: automatically filled from your organisation details. Check the name, address and contact person.
- 2Section 2: Importer/recipient: carried over from the project. Note: this is box 2 on Annex IA: check the registration number of the receiving facility in the destination country.
- 3Section 3: Notification: the notification number is automatically filled in by DIWASS. Choose the shipment type (Single or Multiple shipments) and the operation type (Disposal or Recovery).
- 4On the right in the preview you can see directly how boxes 1, 2 and 3 of Annex IA are filled on the official EU form.
Sections 4–8: Volumes, dates & carrier
Quantities, transport period, packaging and the planned carrier

Volumes and transport details are carried over from the project; add the carrier.
- 1Section 4: Total number of planned shipments: the number of transports planned within the notification period (e.g. 6).
- 2Section 5: Total planned quantity: total weight in tonnes and volume in m³. Carried over from your project details.
- 3Section 6: Planned period: start and end date of the shipments. The notification is valid for a maximum of one year.
- 4Section 7: Packaging: select the packaging method (e.g. tanker, truck). Enter special handling requirements where applicable.
- 5Section 8: Planned carrier: search for the carrier by name or add manually. Enter the transport mode (e.g. Road) and the establishment number. Click Add carrier for multiple carriers.
Sections 9–11: Producer, facility & operation
Origin of the waste, the disposal facility and the applied process
Sections 9–11 completed
Indicate where the waste comes from and how it will be processed.
- 1Section 9: Producer(s) of the waste: the company that produced the waste. Travas automatically fills in that exporter (2) equals producer (9) where applicable. Also indicate the location where the waste was generated.
- 2Section 10: Disposal/recovery facility: the company in the destination country that processes the waste. Select the facility type and enter name, address and contact details.
- 3Section 11: Disposal/recovery operation: select the applicable D/R code. Enter the technology used and, where relevant, the reason for export.
Sections 12–16: Waste description, codes & countries
Technical description of the waste stream, international codes and border crossings
Sections 12–14: Denomination, physical properties and waste codes
Provide an accurate technical description and complete all required classification codes.
- 1Section 12: Denomination and composition: a detailed description of the waste in plain language. Be specific: mention the origin, composition and any contaminants.
- 2Section 13: Physical properties: select the physical state (liquid, solid, powder, pasty). This determines which additional safety requirements apply.

Sections 15–16: Countries involved and customs offices
Enter the transport route with competent authorities and border crossings.
- 1Section 15: Countries/states concerned: select the export country (NL) and the import country (e.g. DE). Use + Add transit country to add countries if the transport passes through a third country. For each country, select the competent authority and the specific border crossing.
- 2Section 16: Customs offices: enter the customs office of entry and exit. For the Netherlands–Germany route this is, for example, Venlo.
- 3On the right, Annex IA is now almost fully completed. Check all boxes visually for any missing information.
Submit to DIWASS
Final check and definitive submission of the notification
Save as draft or submit definitively
Choose between saving as a draft or submitting definitively to DIWASS.
- 1Click Save draft at the bottom left to save your progress without submitting. You can continue later.
- 2When you click Submit to DIWASS, a confirmation dialogue appears: "Are you sure? This will submit the notification to DIWASS."
- 3Click Cancel to go back and make final corrections, or OK to submit definitively.
- 4After submission, Travas processes the notification in DIWASS within one working day. You will receive a confirmation by email.

Travas displays all outstanding tasks on the project dashboard.
- 1The Actions (open) block shows all tasks that still need to be completed, such as missing documents.
- 2The left menu contains: Edit project, Edit notification document and Document management.
- 3As long as there are outstanding actions, the notification cannot yet be submitted to DIWASS.
Dashboard after uploading
Once a document has been uploaded, the associated action disappears automatically.
- 1After you have uploaded a document, that action disappears from the action panel. The remaining actions remain visible.
- 2Once all required documents are present and the DIWASS connection is active, the option to submit will appear.
Edit notification
Adjust the completed form via "Edit notification document" in the left menu

Click Edit notification document in the left column of the project dashboard.
- 1A yellow warning will appear at the top if there are still missing documents. Click Edit documents to go directly to the document overview.
- 2All 16 sections of the form can be edited. The live Annex IA preview on the right updates in real time.
- 3To save changes without submitting: click Save draft. To submit definitively: click Submit to DIWASS (only active when all documents are present).

- 1The title and document type are automatically filled in. Click the upload area or drag a file onto it.
- 2After saving, a green confirmation appears and the card shows a file preview.
- 3Repeat this for each missing document.

Travas has two separate document stores: per project and per organisation.
- 1Project documents are linked to one specific notification.
- 2Organisation documents are reusable across multiple projects and accessible to the entire organisation.
- 3Click Go to organisation documents in the project documents overview to link files.

- 1The project table shows all notifications with name, type, project number, start and end date.
- 2Click a project name to go directly to that project dashboard.
- 3Via Document management in the left menu of the organisation dashboard you manage the organisation-wide document library.

Create new Annex VII
On the project dashboard of a green list project you will find three buttons in the left block: Edit project, New Annex VII and Document management. Click New Annex VII to open the form.
- 1Navigate to the desired green list project from your organisation dashboard.
- 2Click New Annex VII in the project block on the left.
- 3The form opens immediately as a panel alongside the live Annex VII preview.

The form consists of two panels side by side: the input form on the left and a live preview of the official Annex VII on the right. Fields automatically carried over from the project are marked Automatically filled from project.

Edit Annex VII
A saved draft can be resumed at any time. On the project dashboard you will see the shipment in the table with status Draft. Click the name of the shipment or use the Complete draft action to reopen the form.

Sign and send
Once all fields have been completed, click Sign and send Annex VII at the bottom right of the form. The platform goes through two confirmation steps before the Annex VII is definitively sent to DIWASS and all parties involved.

After signing you return to the project dashboard. The shipment is visible in the table with status Saved. The action list shows the outstanding follow-up actions for this project.

Email to the carrier
Immediately after sending the Annex VII, the platform automatically sends an email to the carrier(s) specified in the form. The carrier receives a transport instruction with all relevant details and a direct link to view and sign the transport.
Completion feedback
As consignor you receive two closing emails from Travas: one once the transport has been unloaded (receipt confirmed by the importer) and one once the file is fully closed (recovery statement submitted). After this, the Annex VII procedure is legally complete.

Receive transport instruction email
As a carrier you receive an email from Travas as soon as the consignor has signed and sent the Annex VII. The email contains all relevant transport details and a direct link to sign.

Sign as carrier
After reviewing the Annex VII, enter your name and place of signing and place your signature. Click Sign as carrier to confirm that your company accepts the transport.

Invite drivers
After signing, the Invite drivers screen opens automatically. Here you grant the driver(s) or vessel operator(s) who will actually carry out the transport access to the Annex VII. You have four options.

Receive transport invitation email
As a driver (or vessel operator) you receive an email as soon as the carrier has invited you for a transport. The email contains all relevant details and a link to start the transport.

The Loading screen has three blocks: transport and driver details on the left, loading weight and weighbridge ticket in the middle, signature on the right. Fill in all fields before departing.

After arriving at the unloading location, click Arrived? Start the unloading screen. The unloading screen has the same layout as the loading screen: unloading weight, weighbridge ticket photo and signature.

Transport complete: QR code for recipient
After signing the unloading screen, the Transport complete screen appears. A QR code is shown that an employee at the unloading location (importer) can scan to digitally confirm receipt. The link is also automatically sent by email to the importer.

Receive emails: transport en route and arrived
As an importer you receive two automatic emails from Travas during the Annex VII procedure. The first notifies you that the transport has departed. The second notifies you that the transport has arrived and asks you to confirm receipt.

After clicking the link or scanning the QR code, the Confirm arrival screen opens. This screen has three steps at the top: Sign for receipt, Verify quantity and Recovery statement. Complete them in order.

After signing box 13, you are automatically taken to step 2: Verify quantity. The unloading weight entered by the driver is pre-filled here. You can adjust this if the actual received weight differs.
Submit recovery/disposal statement
Step 3 is the Recovery or disposal statement. You declare on behalf of your facility that the recovery or disposal of the waste has been completed. This statement is a legal requirement.

Open contract from the action list
The Green List Waste Transfer Contract is a legally required contract between the consignor and the recipient (importer) for every green list shipment. Travas generates this contract automatically as soon as you create a project. The action to sign it appears in the action list on your organisation dashboard.

After your own signature, invite the recipient (importer) to co-sign the contract. Click Invite recipient to sign at the bottom left and enter the name and email address of the contact at the importer.
